The training matrix is always a week out of date
Most organisations manage mandatory training in a matrix: people down the side, topics along the top, a date in each cell. It is maintained by hand from certificates emailed by staff and completion reports exported from an e-learning provider. Whoever owns it knows two things: it is essential, and it is never quite right.
The cost shows up at audit time, when the question "who has not done their fire safety refresher?" takes a day to answer with confidence, and again every time someone leaves or joins and the matrix quietly stops matching the staff list.
Assign, track, remind, certify — from the same record
In Learner Journey each mandatory topic is a learning path. Assign it to a cohort — a department, a site, a new-starter intake — with a due date and the mandatory flag, and everyone is notified by email and in-app. As people complete it, the compliance report for that path updates: completed, overdue against the due date, or stale when there has been no activity for longer than a window you set. Chase anyone outstanding with a nudge from the report; every nudge is logged with a timestamp.
A pass on the closing quiz or assessment completes the path and issues a certificate automatically, as a PDF with a public verification link. The report exports to CSV whenever an auditor, a regulator or a board wants the evidence.

Due dates and the mandatory flag
Every assignment carries a due date. Mandatory paths are labelled as such for the learner and reported separately for the manager.
Overdue and stale detection
Past the due date is overdue. No activity for a configurable number of days is stale — which is how annual refreshers resurface without a separate expiry date on every record.
Logged reminders
Send a nudge email to anyone outstanding, straight from the report. Each nudge is recorded, so evidence that reminders were sent already exists.
A pass mark, not a scroll-to-the-end
Finish each path with a quiz or an outcome-based assessment and set the threshold. Completion means the standard was met.
Certificates and export
Certificates issue on completion with a public verification page. The compliance report, gradebook and attendee lists all export to CSV.

Frequently asked questions
- Can I set a renewal period so training expires after a year?
- Not as an expiry date on the record. Instead, the stale flag surfaces anyone with no activity within a window you set, and you re-assign the path with a new due date when the cycle comes round. Certificates themselves do not carry an expiry.
- Does it send reminders automatically?
- Assignment notifies people automatically by email and in-app. Follow-up reminders are sent by a manager from the report in one click and are logged; there is no scheduled automatic reminder yet.
- Can I see one person's status across every mandatory topic?
- The compliance report is per learning path. The gradebook gives a per-learner view of their paths, quizzes, assessments and certificates, and both export to CSV. A single cross-topic matrix view is on the roadmap.
- Can new starters be picked up automatically?
- Add them to the relevant cohort and assign the cohort's paths; assignment applies to everyone in the cohort at that point. Adding someone to a cohort later does not retroactively assign earlier paths — assign again for the new member.
- Can we bring in our existing e-learning modules?
- Upload the documents, video and slides into the workspace and build paths around them, or generate a first draft with AI from a policy. Learner Journey exports SCORM packages but does not play third-party SCORM content.
